How PF and ESI apply to your staff

PF (Provident Fund, also called EPF) applies once you have 20 or more employees. ESI (Employees' State Insurance) applies once you have 10 or more.

The new ₹25,000 PF limit

From 17 September 2026, PF is a must for employees whose PF wages are ₹25,000 a month or less. It was ₹15,000 before. PF wages are mainly basic pay plus DA (dearness allowance), not the full salary. So many more of your staff must now be in PF.

The 50% wages rule

Many IT salaries have low basic pay and big allowances. If these allowances are more than half the salary, part of them now counts as PF wages too. So PF wages, and the PF you pay, can go up. We work out the right PF wages for you each month.

"Can I stop my PF?"

An employee who is already in PF stays in PF, even when their salary goes above ₹25,000. Is a new joiner earning above ₹25,000? Check if they had PF at an old job. If yes, they usually stay in PF. Call us to check.

ESI: only staff with ESI wages of ₹21,000 a month or less are in ESI (₹25,000 for a person with a disability). In IT companies, this is usually office support staff.

When staff don't want to join

Some employees ask to leave PF to take home more pay. If they are in PF, they can't simply stop.

Tell them what they get. PF builds savings with interest, a pension and life insurance. It moves with them to the next job through their UAN (their PF account number).

You send us salary details. We do the PF and ESI work.

  • We register your company for PF and ESI, if it isn't registered yet.
  • We check which staff now come under PF with the ₹25,000 limit.
  • We work out PF wages with the 50% rule, each month.
  • We check if new joiners were in PF at an old job.
  • We add new employees to PF when the rules cover them. We add them to ESI if their ESI wages are ₹21,000 a month or less (₹25,000 for a person with a disability). Staff who already have a UAN (a PF account number for life) keep it. Others get one by a face scan on the UMANG app (the government's mobile app). We guide them.
  • Each month, we file your PF and ESI returns (the monthly list of each employee's wages and the PF or ESI on them, sent to the PF and ESI offices), and mark the date when staff leave. We email you the challans (the payment slips). Pay them by the 15th of the next month, or send us the amount and we pay it.
  • We keep your PF and ESI records ready for inspections.

Common questions

From 17 September 2026, everyone with PF wages of ₹25,000 a month or less must be in PF. Anyone already in PF stays in PF. Staff above ₹25,000 who were never in PF can join if you and they both agree in writing. Were they in PF at an old job? Call us to check.

Some pay items are left out of PF wages. These are HRA, travel allowance, overtime, bonus and commission. But PF wages must be at least half the total pay. If they come to less, the difference is added to PF wages. So if basic pay and DA are 40% of the salary, PF wages usually become 50%. Some other allowances may count in full. Call us and we'll work it out for your salary structure.
