How PF and ESI apply to your workers
PF (Provident Fund, also called EPF) applies once you have 20 or more employees. ESI (Employees' State Insurance) applies once you have 10 or more.

Count everyone
Count casual workers too. Also count workers a contractor sends to you. They all count towards the 10 and 20 limits. Leaving them out is one of the most common mistakes. Once PF or ESI applies, it stays, even if your staff drop below the limit.
Wages
Wages that change
Many factory workers earn ₹21,000 a month or less in ESI wages, so they must be in ESI. Overtime and HRA (house rent allowance) are left out of ESI wages. But if they come to more than half the pay, the extra counts as ESI wages.
When minimum wages go up, pay goes up. So PF and ESI amounts go up too. We work this out each month.
Records
Inspections
Inspectors usually ask for wage registers, records of contract workers, and proof that your contractors paid PF and ESI. Keep these ready.
When workers don't want to join
Some workers ask to skip PF or ESI to take home more pay. If the law covers them, they must join.
Tell them what they get. ESI gives them and their family free medical care, and cash help if they are hurt at work or fall sick. PF builds savings, a pension and life insurance.

What we do for you
You send us salary details. We do the PF and ESI work.
- We register your factory for PF and ESI, if it isn't registered yet.
- We count every worker correctly, including casual and contract workers.
- We add new workers to PF and ESI, if the rules cover them. Workers who already have a UAN (a PF account number for life) keep it. Others get one by a face scan on the UMANG app (the government's mobile app). We guide them. Workers who already have an IP number (their ESI number) keep it. We create one for the others.
- We mark the date when workers leave, and update PF and ESI when wages change.
- Each month, we file your PF and ESI returns (the monthly list of each employee's wages and the PF or ESI on them, sent to the PF and ESI offices). We email you the challans (the payment slips). Pay them by the 15th of the next month, or send us the amount and we pay it.
- We keep your PF and ESI records ready for inspections, and help you during them.

Common questions
Yes. Count workers a contractor sends to you, and casual workers too. Apprentices (trainees under the Apprentices Act) are not counted.
Overtime is left out of ESI wages. But ESI wages must be at least half the total pay. If they come to less, the difference is added to ESI wages. We work this out for you each month.
