How PF and ESI apply to your workers

As a contractor, you are the employer of your workers. PF (Provident Fund, also called EPF) applies once you have 20 or more employees. ESI (Employees' State Insurance) applies once you have 10 or more. Then you register your workers and pay both every month. Smaller contractor? Call us to check.

Workers join and leave every month

Most new workers need a UAN (their PF account number) and an IP number (their ESI number). A worker with a UAN from an old job keeps it. Others get one by a face scan on the UMANG app (the government's mobile app). We guide them.

Each worker who leaves must be marked as left, with the date. If one is missed, their records go wrong.

The company that hires you is called the main employer (in law, the "principal employer"). If you don't pay PF and ESI for your workers, the main employer can be asked to pay. So many clients ask for your challans (PF and ESI payment slips) before they clear your bills. Filing on time helps you get paid on time.

When workers don't want to join

Many workers want full cash pay and ask to skip PF or ESI. If the law covers them, they must join. You can't leave them out.

Tell them what they get. PF builds savings, a pension and life insurance. It moves with them to their next job through their UAN. ESI gives them and their family free medical care, and cash help if they are hurt at work.

What we do for you

You send us salary details. We do the PF and ESI work.

  • We register your business for PF and ESI, if it isn't registered yet.
  • Every month, we add new workers to PF and ESI if the rules cover them, and mark the date when workers leave.
  • We guide new workers without a UAN through the face scan. Workers who already have an IP number (their ESI number) keep it. We create one for the others.
  • Each month, you send us salary details for every site. We file your PF and ESI returns (the monthly list of each employee's wages and the PF or ESI on them, sent to the PF and ESI offices) and email you the challans to share with your clients. Pay them by the 15th of the next month, or send us the amount and we pay it.
  • We keep your PF and ESI records ready for inspections.
